Privacy at Blackwall Systems
Effective date: August 25, 2026
This Privacy Policy explains how Blackwall Systems ("Blackwall," "we," "us," or "our") processes personal information when you visit our website, contact us, purchase or trial Blackwall software, use our licensing and billing services, or interact with Blackwall products and support.
1. Information we process
We process the minimum personal information reasonably necessary to provide, secure, support, bill for, and improve our services. Depending on how you interact with Blackwall, this may include:
- Website and inquiry information: name, business name, email address, telephone number, message content, submission time, and basic technical/security information.
- Account, license, and subscription information: email address, product/platform, license status, activation information, subscription status, renewal or expiration dates, and identifiers used to connect a Blackwall license to a billing subscription.
- Billing and transaction information: Shopify subscription and billing identifiers for the Shopify edition; Stripe customer, checkout, subscription, price, invoice, payment-status, and related transaction identifiers for direct and applicable non-Shopify purchases. Blackwall does not need to store your full payment-card number or card security code.
- Product and support information: configuration, diagnostic information, support communications, and other information you choose to provide when requesting assistance.
- Service data processed through Blackwall applications: where a merchant enables features such as stored conversations, analytics, order lookup, support tickets, or live support, the applicable Blackwall application may process the information needed to provide those merchant-configured functions. For Shopify customer-service and commerce functions, this may include customer name, email address, shipping or billing address, and order information when required for the enabled feature. Merchant-facing controls govern those features and their retention where available.
2. Why we process information
We limit our use of personal information to legitimate purposes connected with providing and operating Blackwall services, including to:
- provide website, software, licensing, subscription, and support functionality;
- activate, validate, renew, suspend, deactivate, and administer software licenses;
- create and manage trials, subscriptions, invoices, and customer billing relationships;
- respond to inquiries and support requests;
- secure our systems, prevent abuse and fraud, investigate incidents, and maintain audit records;
- comply with tax, accounting, legal, regulatory, dispute, and recordkeeping obligations; and
- improve reliability and functionality using operational information appropriate for that purpose.
3. Payments and Stripe Managed Payments
Blackwall uses Stripe for payment, subscription, invoicing, fraud-prevention, dispute, and related billing services. For transactions processed through Stripe Managed Payments, Stripe or the applicable Stripe affiliate may act as merchant of record and may be responsible for transaction-level tax/VAT/GST handling, payment processing, fraud management, and certain payment-related customer support.
Stripe processes payment information under its own terms and privacy practices. Blackwall generally receives billing identifiers, customer contact information needed to provision the service, purchased product and price, subscription state, invoice/payment status, and relevant timestamps rather than full card credentials.
4. Shopify Billing
The Shopify edition of Blackwall Systems AI Chatbot uses Shopify Billing for app subscriptions. Shopify processes the merchant's Shopify billing relationship under Shopify's applicable terms and privacy practices. Blackwall receives subscription identifiers, plan/status information, billing-period information, and related metadata needed to provision and administer Premium entitlement. Shopify app subscriptions are not purchased through Blackwall's Stripe checkout.
5. Service providers
We use service providers only as reasonably necessary to operate Blackwall. These may include Cloudflare for hosting, security, network, and database services; Stripe for payments and billing; email-delivery providers; and AI or infrastructure providers selected or configured as part of a Blackwall product. These providers may process information on our behalf or, where applicable, as independent controllers or merchants of record under their own terms.
6. Data minimization and purpose limitation
Blackwall is designed to process only the information needed for the enabled service or business purpose. We do not sell personal information. We do not use customer information obtained for providing Blackwall functionality for unrelated purposes.
7. Retention and deletion
We retain personal information only as long as reasonably necessary for the purpose for which it was collected, to operate active services, maintain legitimate business and security records, resolve disputes, and satisfy legal, tax, accounting, or regulatory requirements.
Blackwall applications may provide merchant-configurable retention, cleanup, export, and deletion controls. Shopify-related privacy requests are handled through Shopify's required privacy-webhook process where applicable. Some limited records may be retained when required by law or necessary to document security, billing, fraud, tax, or legal events.
8. Security
We use administrative, technical, and organizational safeguards appropriate to the nature of the information we process. These include encryption in transit, encryption of sensitive stored credentials, access controls, audit/access logging for sensitive administrative surfaces, environment separation, security monitoring, and incident-response procedures. No system can be guaranteed completely secure.
9. Staff access
Access to customer personal information is limited to personnel or authorized service providers who need that access for support, security, administration, or another legitimate business purpose. Blackwall maintains controls intended to restrict and log access to sensitive customer information.
10. International processing
Blackwall and its service providers may process information in the United States and other countries where they operate. Where legally required, appropriate contractual or other transfer safeguards are used by the applicable service provider or contracting party.
11. Automated processing
Blackwall AI products assist with communication, retrieval, commerce, support, analytics, and workflow tasks. Blackwall products are not intended to make decisions that produce legal or similarly significant effects concerning individuals. Merchants must not configure Blackwall for consequential automated decision-making without an appropriate lawful basis, disclosure, human review, and any legally required opt-out or appeal mechanism.
12. Your choices and privacy requests
Depending on applicable law, you may have rights to request access, correction, deletion, restriction, portability, or other action concerning your personal information. To make a request concerning information held directly by Blackwall, use the contact form. If your information was processed through a merchant's Shopify or WooCommerce store, you may also need to contact that merchant because the merchant controls the underlying customer relationship.
13. Children
Blackwall services are intended for businesses and business users and are not directed to children.
14. Changes to this policy
We may update this Privacy Policy when our services, legal obligations, or processing practices change. The effective date above identifies the current version.
